  2. Click on Focus (otherwise known as Do Not Disturb)

  4. Click Driving (other customizable categories include Custom, Fitness, Gaming, Mindfulness, and Reading) 
  5. Tap Customize Focus
  6. Click Auto-Reply
  7. At the top under Auto-Reply To, you can select who is able to receive your automated text message. Options include: 
  • No One
  • Recents (those you’ve responded to within the last 24 hours) 
  • Favorites (from your pre-selected list of favorite contacts) 
  • All Contacts
  1. Compose your message where it says Auto-Reply Message in the middle of the screen. There will be a sample text message already written out, but this is for when you’re driving, not sending an out of office message. Tap on the text box and edit directly inside. 
  2. Go back to the previous page, scroll down to and click on the box that says While Driving. 
  3. Make sure Manually is selected so you can toggle Driving mode on and off whenever you need to and not just when you’re driving. 
  4. Now when you drag down the drop down menu on iPhone from the top right corner (where you can manage volume, brightness, wifi, and more), click on Focus. You’ll see Driving focus mode is now an option and you can turn it on whenever you’re out of office.

The one flaw with this design is that, like all Do Not Disturb settings, people can bypass your DND and notify you by pressing Notify Anyway after sending their message. 3. On Holiday

Sometimes, your whole team may have the same holiday break time. In this case, you can include the fact that the whole team is unavailable, so the person doesn’t try to disturb anyone else. 

If your office or business does have an emergency number or email, you can list that. But if not, just be sure they know you’ll respond as soon as the holiday is over.

5. New Business Hours

Especially if there was no announcement in a newsletter or social media marketing page, chances are no one will realize new hours of operation are in effect. 6. Maternity or Medical Leave

An absence from work due to maternity or medical leave may be more personal than you’d like to share with colleagues or customers. Regardless of whether or not you disclose the reason you’re absent, you still should inform coworkers and customers that you are unavailable. Not stating maternity/medical leave:

You can directly state that it pertains to personal matters/reasons or not, it’s up to you. 

7. Attending a Conference/Meeting

Sometimes you may be actively attending a conference or meeting during your work day. Even though you’re at the meeting, coworkers or clients may still try to get in touch with you. 

You don’t want to have to step out to answer the phone unless absolutely necessary—or maybe you’d welcome the excuse for a break. You can turn on Driving focus before your conference begins so you can keep your full attention on the absolutely riveting, totally-could-not-have-been-an-email meeting going on. 

Here is an example of an auto-reply for this situation: 

  • Hello, I’m currently in a meeting (or attending a conference) and will get back to you as soon as I can. If your message is urgent, please contact my colleague Brian at 873-348-9743. 

8. Internal Message

This message is for work colleagues only, not customers or clients. Because you work with them, likely know them in person, and they’re familiar with the company you both work for, this message can be less detailed but should still explain why you’re gone and when you’ll be back. 

You also don’t need to include the contact info for the person you refer them to because they’ll know who that is. Or they can look them up within the company.

9. Checking Emails Only

10. Funny Response

If you were the class clown in high school and looking to keep your legacy alive as the office clown, you can also craft a funny auto-reply when you’re out of office. Just be sure that a funny message would be appropriate for the work you’re doing, the position you hold, and the company you work for.

If you want to go rogue and create your own out of office message, you want to be sure to avoid adding these things into your message. Have fun with it, but always remember short and sweet is the way to go. 

1. Extra Information/Too Many Details

As amazing as we’re sure the sightseeing is going, you don’t need to give people details about your vacation. You also don’t need to be too transparent about why you’re unavailable. Colleagues can know you’re on medical leave, but they don’t need to know you’re getting your hip replaced after trying to do a cartwheel in the backyard. 

Some things are better kept to yourself in a work setting. Even more importantly, too much information will distract people from the important parts of your message, like the date you’ll be back. 

2. Emojis or Pictures

Who doesn’t love emojis? Adding hearts and smiley faces and a leaf when it’s autumn can make any regular message pop. Plus, it’s fun. But when sending professional text messages, it’s best to avoid distracting and often unprofessional emojis or pictures/GIFs. 

Also, some phones aren’t able to view emojis sent from other phones. For example if you send a special emoji that’s only able to be read on an Android to a person with an iPhone, they might only see a blank square, which can distract from your message. 

3. Commitments You Can’t Fulfill

Make sure that everything in your message is 100 percent true. Don’t commit to doing anything you might not be able to. Make sure the date you say you’re coming back is accurate and only agree to check emails if you actually can.
